For this real estate organization, lease invoicing within JD Edwards was a process that relied heavily on manual tasks. Users had to run reports, approve batches, process entries, and generate invoices. It was a recurring process that was time-consuming and prone to errors.
Using JD Edwards Orchestrator, we redesigned the process and streamlined it into a single, cohesive workflow. The result: less manual work, greater consistency, and significant time savings for users.
The Challenge: A Complex and Manual Billing Process
In JD Edwards, users had to go through several manual steps for each billing cycle:
- Running the Billing Generation Report;
- Entering Data Selections and Processing Options;
- Approving the generated batch;
- Posting the batch;
- Generating and printing invoices.
Although the process itself was not complicated, it required a great deal of manual interaction. Each step had to be performed in the correct order, and users had to constantly check to ensure that the processing had gone through correctly.
Precisely because real estate leases generally change very little, the question arose as to whether this process could be organized in a much smarter way.
The Solution: Automating Lease Billing with JD Edwards Orchestrator
To simplify the process, we have developed an orchestration that automates virtually the entire invoicing process. To start the invoicing process, only the following information is required:
- A lease number (for a single tenant) or a building number (for all tenants in that building).
- An invoice date, with optional date overrides (Invoicing, GL, Service/Tax).
The orchestration then takes over the process entirely.
After this input, actions are automatically executed. The orchestration:
- Runs the invoicing report using the correct parameters.
- Approves the batch immediately and posts it.
- Automatically generates invoice documents.
As a result, a process that previously consisted of several error-prone manual steps is reduced to a single automated action.
User-friendly thanks to a JD Edwards Composite Page
An automation system is only truly successful when users want to use it.
That is why the solution has been made available via a JD Edwards Composite Page. From a single, centralized environment within JD Edwards, users can initiate the entire invoicing process, track its progress, and easily view the generated documents.
Users retain full control throughout the process. The " Submitted Jobs " section provides a clear overview of which transactions have been processed, and invoices can be easily retrieved for further distribution to tenants.
Additional automation for even greater efficiency
In addition to automating the invoicing process, we have developed three additional orchestrations.
Forward to e-invoicing platform
After invoicing, invoices for various countries must be forwarded to a government platform in accordance with e-invoicing regulations. The orchestration process that creates the journal entries can also automatically forward the invoice for e-invoicing, based on the user’s selection.
Automatic Reversal of Invoices
Previously, if an invoice was found to have been processed incorrectly, it had to be corrected manually. With the new Batch Void Automation, a user can, with a single action:
- Voiding a batch;
- Reverse the processing;
- Automatically make the lease for the relevant period available for re-invoicing.
As a result, corrections are made much more quickly, and the impact on the billing cycle remains minimal.
Automated Lease Indexation
Indexing lease contracts was also largely a manual process in the past.
Using a Form Extension, the user can easily enter an indexation percentage and a start date. The orchestration then handles the following:
- Automatically deactivating the existing rule;
- Calculating the new rental value;
- Creating a new invoice line item with the updated amounts.
This eliminates the need for manual calculations and significantly reduces the risk of errors.
